Position Summary:
This position performs administrative and customer service support for UW Veterinary Care (UWVC), to provide quality customer service to all clients and staff and ensure smooth administrative operations. This position will support both the hospital call center and medical records teams and will perform duties under limited supervision.

Principal duties:
70% - Provide day-to-day operational support to medical work unit
- Provide back-up coverage to Medical Records and Call Center staff during leaves of absence, lunch breaks, and provide backup relief of their tasks during busy spells
- Uploading medical records to the Hospital Information System (HIS), approximately 135+ documents daily, and alerting appropriate services that new documents are available in the patient medical record
- Assist with maintaining and updating training documents for Call Center and Medical Records
- Filing and maintaining files for Medical Records
- Assist with annual archive project
- Assist with the transition to a new HIS; plan for new responsibilities that will accompany the change in workflow

20% - Prepare documents for patient medical records and aid with HIS regular maintenance
- Scan in Dentistry and Cardiology patient records into the HIS
- Pull charts/medical records for research study requests
- Handle account cleanup in the HIS; updating client names, patient names, and deleting duplicate accounts
- Add/cleanup referring veterinarian (rDVM) information to Vetstar

5% - Receive, submit, and respond to inquiries from internal and external sources
- Update the Medical Records white board daily with veterinary technician (CVT) and clinician absences
- Handle rDVM requests for UWVC brochures, and maintain a log of same

5% - Other duties as assigned
