EMPLOYEES ENROLLED AS UW-MADISON STUDENTS

POLICY

Faculty

Faculty intending to register as students are subject to the requirements of Faculty Policies and Procedures 8.03.

Academic Staff and Limited

Academic staff and Limited appointees may enroll in University courses if it does not interfere with their employment responsibilities. Academic Staff and Limited positions are salaried, professional positions that typically require more of a time commitment than the standard 40-hour workweek. As a result, it is the policy of the University to require academic staff and Limited appointees to inform their supervisor or chair/director of their intention to enroll in University courses and to ensure that all employment responsibilities can be met.

Approval by the supervisor and chair or director is required whenever:

Non-dissertators—Combinations of appointment percentage and academic load percentage for non-dissertators exceeding 175% are very unusual because of the difficulty that such academic loads place on the ability of the employee to perform his/her employment responsibilities. Therefore, approval by the employing division’s dean/director (or designee) also is required prior to the start of classes. The Dean of the Graduate School shall be informed of any approved requests.

Dissertators—For dissertators, combinations of appointment percentage and academic load percentage exceeding 175% are more common because they have no classes to attend. Although these are approved only at the chair or director level, the employing unit’s dean, director or designee and the Dean of the Graduate School must be informed of any approved requests.


PROCEDURES

Faculty

Faculty intending to register as students must follow the requirements of Faculty Policies and Procedures 8.03.

Academic Staff and Limited

Inform Supervisor, Chair or Director—An academic staff or Limited appointee intending to register as a student at a UW System institution must inform the supervisor or chair/director, in writing and before registration, of the proposed course load and schedule of educational commitments to ensure that all employment responsibilities can be fulfilled satisfactorily.

Whenever the proposed enrollment will require changing the employee’s regularly scheduled working hours or the percentage of appointment, the appointing department or unit has the discretion to grant or refuse permission for the change.

When Combination of Appointment Percentage and Academic Percentage Exceeds 175%

  1. EMPLOYEES ENROLLED AS NON-DISSERTATORS—Whenever the combination of appointment percentage and academic load percentage exceeds 175%, approval is required by the employing unit’s chair or director and dean, director or designee. The dean, director or designee shall inform, in writing, the chair or director of the decision and send a copy to the Dean of the Graduate School.
  2. EMPLOYEES ENROLLED AS DISSERTATORS—Whenever the combination of appointment percentage and academic load percentage exceeds 175%, approval by the employing unit’s chair or director is required. Approval by the dean or director is not required. However, the chair or director of the employing unit shall inform, in writing, the dean, director or designee of the employing division and the Dean of the Graduate School of all dissertators exceeding 175%.
  3. COMBINATION MAY NOT EXCEED 200%—In no case shall the combination of any type of appointment (i.e., employment, employee-in-training or fellowship) within the UW-System and academic load within UW System exceed 200%.
