| Job Summary: | This position serves as a vital member of the UW Department of Psychiatry Outpatient Clinic Patient Services Team. The Psychiatry Clinic is a large academic clinic of 80 providers who typically see 200 patients per day. Members of the Patient Services team are responsible for all patient scheduling/rescheduling, calls and registration/check-in. This team also coordinates and maintains all provider calendars and exceptions to the calendars. Members of this team must have the skills to learn the Department's scheduling system, must learn insurance and billing requirements and must display a sense of courtesy and professionalism to all patients, faculty, trainees and other staff. This team values patient care and service as a focus of their efforts while maintaining confidentiality of all patient information. The team works closely with their supervisor and clinic administration, offering solutions to problems and recommendations for improving patient service. |
Goals and Worker Activities
| A. | 50% | Scheduling, telephone work, messaging and medication refills |
| | 1. | Coordinate and maintain individual provider calendars. |
| | 2. | Schedule & reschedule patient appointments. Requires broad knowledge of scheduling software and scheduling requirements to meet training needs. Special attention is needed to ensure faculty supervision of all trainee appointments. |
| | 3. | Accurately record new patient information. This requires knowledge of insurances and local HMO options. |
| | 4. | Respond to patients' telephone calls. Assess patients' needs and the urgency of the call. Take messages appropriately. Learn protocol for responding to patients' emergencies and utilize when needed |
| | 5. | Accurately retrieve patient information and requests for medication refills. Complete medication refill form and distribute to appropriate provider or provider's back-up. |
| | 6. | Assess repeated scheduling problems and offer recommendations to supervisor and clinic management. |

| B. | 35% | Registration and Check-In |
| | 1. | Accurately verify patient information at check-in such as demographics, insurance, HIPAA forms and registration status. |
| | 2. | Generate needed forms; notice of privacy practices and face sheets. |
| | 3. | Notify supervisor or clinics' manager of repeated check-in problems. Suggest problem solving alternatives. |
| | 4. | Ensure that all patients receive required documentation such as patient rights information, consent to treatment, insurance information. Remind patients to complete pre-evaluation information |
| | 5. | Call all new patients with appointment reminder. |

| C. | 5% | Medical Records Management |
| | 1. | Assemble new patient information packets. Mail or track need for distribution at first appointment. |

| D. | 10% | Miscellaneous |
| | 1. | Provide miscellaneous duties as assigned by supervisor such as telephone back-up, mail distribution. |
| | 2. | Assist Academic support staff in providing support services to faculty and staff when needed. |
