Degree and area of specialization:
Bachelor's Degree required; Master's Degree preferred in student affairs, education/higher education, counseling or a related field.
Minimum number of years and type of relevant work experience:
A successful candidate should have:
At least two years college/university student services or
administrative experience required. Requires outstanding interpersonal skills, demonstrated ability
to work collaboratively, and experience with diverse constituencies. Familiarity with academic
programs and resources in the School of Human Ecology (SoHE) and the UW-Madison campus desirable.
Excellent writing and speaking skills plus basic computer competence are essential. Other skills
and abilities required are:
*Organizational/administrative, problem-solving, and
priority-setting skills while handling multiple tasks and responsibilities;
*Positive, helpful
customer-service attitude to students, faculty, staff, and alumni;
*Design and use of
spreadsheets, databases and campus software/student record systems to monitor and take actions
related to student academic progress; and
*Use of creativity and self-initiative for achieving
efficiencies in planning
events.
Principal duties:
60% Work with Students. As a part of the Student Academic Affairs (SAA) Office in the School of
Human Ecology (SoHE), provide comprehensive, developmental academic advising programs to current,
prospective and SOAR students through individual appointments, group advising and walk-ins. Provide
information regarding School policies to students, faculty, staff, and parents, with special
attention to admission eligibility and selection policies for SoHE limited enrollment programs.
Work as a team member to fully implement and support professional advising/faculty mentoring model.
With SAA staff, create a welcoming climate. Enhance/monitor retention rate and use early warning
signs to identify "at risk" students and resources to enhance time to graduation. Initiate programs
to enhance student academic success in targeted minority populations and maintain a commitment to
diversity. Provide information about leadership certificate, academic actions, academic appeals,
advisor assignments, faculty mentors, credit overloads, financial resources, and referrals for
tutoring. Serve as liaison to SoHE academic departments and campus student services. Participate on
committees as assigned. Understand and practice NACADA Code of Ethics and required FERPA
confidentiality for student services personnel. Under the general direction of the Assistant Dean,
review individual student cases and make informed recommendations and decisions regarding
Interpretation and implementation of University and School policy.
40% Coordinate SAA
Projects. Develop and coordinate educational programs, records, and data. As a member of the SAA
Team, the individual in this position provides event coordination, serves as the timetable
representative, and oversees recruitment and retention of students in underserved populations.
Follow-up with middle and high school students involved in UW-Madison summer pre-college programs.
Monitor and report individual and aggregate data on student advancement, academic actions, and
graduation certification from student information systems. Use DARS, ISIS, BRIO/Hyperion and other
data bases to query, analyze and inform unit and School decisions. Utilize educational technology,
i.e. PowerPoint, Learn@UW, video, social networking programs, website, etc. to make connections and
presentations to students, faculty, and staff. Consult with faculty on updating advising documents.
Develop and manage special projects as assigned by the Assistant Dean. Provide Information for
brochures and websites. Implement best practices for SoHE stakeholders. Coordination of SOAR, WI
Welcome Week activities, and SAA special events.
Additional duties/responsibilities as assigned
by the Assistant Dean, including but not limited to:
* Research and benchmark other programs to
assist in the preparation of reports/presentations to inform SAA and SoHE, including the annual
report of SoHE undergraduate admission and retention and others;
* Participate in SAA data
collection and analysis, including program evaluation/assessment as part of quality
improvement;
* Read, stay abreast of, and bring new and emerging best practices to SAA staff,
including conducting literature reviews and drafting position papers on topics of SAA and SoHE
interest.
* Demonstrate value-added creative thinking to take student situations from problems
to recommended action with rational to Assistant Dean.
* Serve as recorder to SoHE
committees/work groups as assigned. Serve on college and university committees related to the
position;
* Work nights and week-ends as assigned, and some travel as required;
* Additional
administrative duties will be assigned based on the successful candidate's skills and experience
and with due consideration of SAA activities, needs, and mission. The responsibilities are subject
to change as the position evolves.
The SAA Student Services Coordinator reports to the Assistant
Dean, and as a member of the SAA team, works collaboratively to achieve SoHE and SAA strategic
goals.
