BS or BA required; Master's preferred. Degree or background in adult education

Minimum number of years and type of relevant work experience:
Experience preferred in adult education or student services, preferably in the health sciences. At
least one year of experience is required for appointment at the no prefix level. Training in ISIS
and SARA highly
desired.
Principal duties:
The Research Education and Career Development Core (REC) of the Institute for Clinical and
Translational Research (ICTR) was established to develop a diverse, multidisciplinary, clinical and
translational research workforce capable of accelerating the translation of research findings into
evidence-based policies and practices that improve the health of individual patients and all
populations in the state of Wisconsin and throughout the United States. Educational programs
administered by REC include a MS/PhD graduate degree program in Clinical and Translational
Research, a Capstone Certificate in Clinical and Translational Research, and a wide variety of
non-credit educational programs for health professional students, residents, fellows, and
investigators. Principal duties and responsibilities are:
50% Graduate and Certificate
Programs coordination: Provide professional student services to the MS/PhD degree and capstone
programs in Clinical Investigation. The incumbent will:
Provide academic advising to
prospective and current students. Meet with students to review program curriculum and develop an
individual degree plan; provide information on application and enrollment requirements, procedures
and progress in the degree plan to both the student and their faculty advisor and committee
members.
Counsel prospective students on how a graduate degree or capstone certificate would
benefit their career development (e.g. as clinical or community investigators, faculty, research
study coordinators).
Serve as point-of-contact for student inquiries. Respond to requests for
information, including maintaining a database of all inquiries, student progress, advisors,
faculty, and student contacts.
Manage and maintain records of interaction with students,
receive applications, create and maintain confidential student files.
Provide specific,
accurate and current information about curricular requirements.
Manage the delivery of academic
advising using a variety of services including individual appointments, walk-in, group advising,
and email.
Supervise the processing of program forms and procedures including change of
major, degree warrants, minor declarations, course waivers, degree plans, etc. Oversee letters of
acceptance/denial to programs, official certificates, advisor approval and appointment,
etc.
Develop and maintain an amendment of program guidelines, policies, and
procedures.
Coordinate and lead student information sessions and student orientation
meetings.
Monitor enrollment of potential and actual students. Work closely with faculty and
administrators to ensure sufficient seats are available to students and new sections are developed
as needed.
Design and implement recruitment strategies to increase the visibility of the GPCI
at a national and international level in collaboration with the Recruiting and Marketing
Subcommittee of the Faculty Governance Committee. Work closely with the Collaborative Center for
Health Equity to ensure underrepresented populations are reached. Develop degree program
information for the ICTR, SMPH, and Graduate School websites; plan and write articles marketing the
program for placement in the ICTR and SMPH newsletters, as well as publications of ICTRs partner
schools and colleges, speak with fellowship programs, research groups, new faculty and other
sources of potential students for the GPCI and Capstone programs; develop an overall recruitment
strategy.
Participate in Faculty Governance Committee and subcommittees. Coordinate and
contribute to all meetings; develop the agendas including timing the consideration of issues as
they relate to broader University policies and guidelines. Identify and develop student and
faculty issues for the FGC to consider. Make recommendations to the committee regarding the
operation and growth of the programs. Serve as primary liaison between the students, course
faculty, and the FGC.
Use ISIS (Integrated Student Information System) and other software
applications to assist students with enrollment and advising issues.
50% Non-Credit
Education Programs coordination: Promote, manage, and facilitate non-credit educational programs
and activities for health professional students, residents, fellows and investigators. Specific
duties are:
Develop curriculum and organize all aspects of REC non-credit educational
offerings. This includes, but is not limited to, sequence and scope of presentations and break out
sessions; recruitment and retention of faculty and staff presenters; identifying learning
objectives; performing needs assessments and target audiences; and assisting faculty with the
development of education or training modules based on identified needs.
Plan and manage the
annual Short Course in Clinical Investigation, including curriculum development, design of course
materials, and responding to participant inquiries.
Implement and coordinate the evaluation
process for all non-credit educational offerings.
Monitor and maintain appropriate websites
to ensure REC non-credit educational opportunities are identified and promoted; create and
distribute promotional announcements when needed. Work closely with departments within the ICTR
partner schools and across campus to be sure eligible participants are made aware of REC
programs.
Design and implement recruitment and outreach activities to ensure that
health professional students, residents, fellows and investigators across campus are aware of and
able to benefit from REC's educational
programs.
