Principal duties:
POSITION SUMMARY
The Coordinator for Assignments and Student Services supports students and
their parents in planning and preparing for their first year at the University by directing the
activities related to contracting with and assignment to the University Residence Halls.
Coordinators provide visible leadership to the campus on residential learning communities and
represent the Division of University Housing to faculty and staff across campus supporting the
recruitment and retention of students. Working closely with Residence Life and other campus staff,
Coordinators support the Division's academic mission by seeking resolution for students' concerns
with room assignments and community living while maintaining tact and sensitivity to ensure fair
and consistent practices. Providing support, consultation, and counseling to student participants
of scholarship programs and residential learning communities is another essential part of this
position. Coordinators also plan and administer the evolving Summer Session Housing program for the
Division of University Housing.
ESSENTIAL ACTIVITIES
I. Assist students and their
parents in planning for their first year at the University by directing the activities related to
contracting with and assignment to the University Residence Halls. Offer support and encouragement
in resolving complex logistical and interpersonal issues related to students living in the
University Residence Halls. Provide support, consultation and counseling to student participants of
scholarship programs, residential learning communities and students identified with ADA special
accommodation needs.
A. Demonstrate expertise in working with a unique student population
who for the first time is transitioning from home to a larger university setting. Help the student
and/or parent identify the real issues from the questions being asked.
B. Independently
resolve non-routine concerns with housing issues, scholarship programs, residential learning
communities, policy questions, and appeals raised by students, parents, family members, or
university faculty and staff.
C. Administer the assignment process for students including
those interested in residential learning communities and special interest housing including the
Chadbourne Residential College, Bradley Learning Community, Entrepreneurial Residential Learning
Community, International Learning Community (including 6 language programs),Multicultural Learning
Community and Women in Science & Engineering program.
D. In support of Plan 2008,
collaborate with and advise faculty and staff in programs such as TRIO, People, POSSE, and AAP.
Engage with the recruitment and retention of students identified as targeted minorities in the
Division of University Housing's residence hall programs.
E. Work collaboratively with
University Housing Residence Life staff, McBurney Center, Dean of Students Office and academic
deans regarding the mediation of roommate conflicts, student discipline, accommodation issues,
community and individual student health concerns, and mental health crisis situations. Serve as a
referral source to other campus agencies as needed. Maintains appropriate, confidential files.
F. Educate students, their parents, and faculty and staff about the terms and conditions of
the housing contract; monitor third party agreements with scholarship programs.
G. Act as
the primary representative for the Division of University Housing at admissions presentations to
high school students and their families.
II. Assist in planning and implementing change in
directing an assignment system of 7,000 undergraduate students while balancing the needs of each
individual student including a significant first-year student population. Analyze current and
historical assignment data for prediction purposes and trend analysis.
A. Serve the needs of
a large student population by initiating, planning and executing the annual assignment of 5,300 new
students; plan for and troubleshoot a returning resident sign-up of roughly 1,700
students.
B. Test and troubleshoot web-based, internally designed Assignment Billing System
to ensure accuracy of data and user functionality.
C. Evaluate Assignment Office policies
and procedures through the analysis of data, trends, and student feedback and offer suggestions for
improvement as needed. Develop reports to support and outline conclusions derived from data
analysis.
D. Select, train, and supervise student employees.
III. Develop and
establish the framework for assignment practices related to current or newly formed residential
learning communities and scholarship programs. Collaborate with Residence Life Staff, faculty
directors, and other campus offices from development through implementation of residential learning
communities and scholarship programs. Coordinate third party billing process.
A. Review
supporting documentation verifying eligibility for scholarship programs and residential learning
communities in consultation with professionals from the Office of Undergraduate Admissions, the
Athletic Department, and International Academic Programs Office, etc. as needed prior to
formulating a response on behalf of the Division of University Housing.
B. Participate on
committees related to the development or evaluation of residential learning communities. Provide
information to faculty directors and academic staff regarding eligibility and placement in
residential learning communities in addition to addressing procedural questions.
C. Work
closely with Residence Life Staff as well as faculty and academic staff in marketing special
interest housing and residential learning communities to current and prospective
students.
D. Develop and interpret managerial reports on residential learning communities
and scholarship programs for faculty and academic staff using campus information systems and the
data warehouse.
E. Plan and execute a third party billing system in conjunction with
University Housing Accounting staff and other campus offices including the Athletic Department,
International Academic Programs and individual academic departments.
IV. Administer the
Summer Session Housing program. Develop and implement policies and procedures for Summer Session
Housing.
A. Coordinate the Summer Session Housing contracting, room assigning, billing, and
payment plan processes.
B. Arrange agreements with campus programs that have students
participating in the summer sessions including SEASSI, SASLI, and ESL.
C. Organize the
move-in and move-out process and provide information to Residence Life, Conference, Facilities, and
Collections staffs related to Summer Session Housing.
D. Develop and edit Summer Session
Housing materials, brochures, and web content.
V. Participate in student service activities
and committees for the Division of University Housing, the greater University of Wisconsin-Madison
campus, and regional/national professional organizations.
A. Provide leadership and/or
represent the Division of University Housing as needed on committees related to the Division's
Priorities and Initiatives projects.
B. Participate in and attend professional conferences
and organizations.
