Minimum number of years and type of relevant work experience:
At least two years of relevant work experience is preferred. Previous experience with the College of Letters & Science and/or UW-Madison is a plus.
Principal duties:
The person hired for this position will be part of a team that supports external relations on
behalf of the College of Letters & Science. S/he will be part of the Office of the Dean of Letters
& Science and will report to the Assistant Dean for External Relations; s/he also will work closely
with staff from the Wisconsin Alumni Association (WAA) and the UW Foundation in developing and
promoting alumni connections and engagement with the college.
Alumni Relations
(35%)
Support development and implementation of the College of Letters & Science's alumni
relations strategies at the department and program levels.
- Identify appropriate alumni,
compile supporting documentation, and draft Distinguished Alumni Award and Young Alumni Award
nominations on behalf of the dean. Assist departments with their nominations.
- Develop and
implement a college-level alumni award program and related ceremony and event.
- Serve as a
resource for Letters & Science departments and programs in developing initiatives to establish
and/or enhance their alumni programs.
- Develop and implement innovative Alumni Weekend and
other alumni programs to be held on campus and around the United States.
- Collaborate with and
serve as liaison to the School of Business and other campus partners in organizing the annual CEO
Event.
- Serve as Letters & Science liaison to WASB, the WAA student alumni board.
- Develop
and implement pre-alumni programs for current Letters & Science students.
- Serve as liaison to
the Wisconsin Alumni Association
- Represent Letters & Science on the WAA Board
- Collaborate
on tone, content, and delivery of alumni news, with the editor of Letters & Science TODAY, the
alumni newsletter mailed to over 140,000 graduates of the College of Letters &
Science.
Development (35%)
Work closely with the UW Foundation to support and maintain
strong ties between over fifteen Letters & Science boards of visitors, the college, and the Dean of
Letters & Science and Assistant Dean for College Relations. In partnership with the UW Foundation,
plan and implement strategies to increase participation in the Letters & Science Strategic
Initiatives Fund (annual giving) and endowments.
- Serve as liaison to over fifteen
departments and programs with a board and the UW Foundation director of development who works with
that board. Ensure that information about meetings, plans, and board initiatives is conveyed to the
Dean and Assistant Dean for College Relations in a timely fashion.
- Advise departments and
programs about the Letters & Science planning process and procedures for developing advisory
boards.
- Attend meetings of Letters & Science boards.
- Draft correspondence on behalf of
the dean, forward news articles and materials of interest, and otherwise support college-level
communication with members of the fifteen boards.
- Serve as liaison to the UW Foundation in
planning and implementing a stewardship plan for the annual fund.
- Work with UW Foundation
staff to plan and implement initiatives to promote the annual fund, drawing on knowledge and
experience of young alumni, students, and their parents.
- Participate in planning retreats and
meetings with the UW Foundation development team.
- Work with UW Foundation development
directors to plan and implement campus visits and other events for donors and friends of the
College of Letters & Science.
Public Information (20%)
Develop contacts and familiarity
with diverse information sources on Letters & Science and its graduates, and the college's impact
on UW-Madison and the State of Wisconsin. Research, develop catalogue of news and information on
alumni, faculty, staff, and students, and disseminate information for use in:
- Story ideas
and tips for University Communications to use in Wisconsin Week, press releases, strategic
initiatives, and other projects.
- Letters & Science TODAY, the alumni newsletter that the
College of Letters & Science sends to over 140,000 living alumni in the United States and publishes
on the web as part of the college's public information, development, and alumni relations
initiatives.
- Letters & Science development initiatives and projects with the UW
Foundation.
- Letters & Science Annual Report.
- Department and program alumni relations and
development initiatives.
- Contacts with Legislators and their staff.
- Letters & Science
senior staff decision-making
Events (5%)
Manage planning and supervise support staff for:
three annual commencement receptions for over 1,500 guests (per reception); one Homecoming donor
event; and, one emeritus faculty and staff event each year.
Other (5%)
- Advise
departments on external relations and communications strategies and resources that are available on
and off
campus.
Additional Information:
This is a two year terminal position, with the possibility of converting it to a renewable appointment, if funding permits.
