Summer Appointments in Excess of 2/9 of the Academic Year for Faculty, Academic Staff, and Limited Appointees on C-Basis

POLICY

Prior Approval of a Summer Appointment Exceeding 2/9ths Salary

The Board of Regents requires that any faculty, academic staff, or limited appointee on an academic year (9-month) appointment receiving more than 2/9th salary during a summer appointment must obtain prior approval from the appointee's Dean or Director (requirement of UW System Academic Planning Statement [ACPS] #4). It is the policy of the UW-Madison that any faculty, academic staff, or limited appointee on an academic year (9-month) appointment may not exceed eight months summer salary over any three-year period.

EXAMPLE:

2003 = 2/9
2004 = 3/9
2005 = 2.27/9
2006 = 2.50/9
2007 = 3/9

2003 + 2004 + 2005 = 7.27/9
2004 + 2005 + 2006 = 7.77/9  --- Therefore, 2008 summer
2005 + 2006 + 2007 = 7.77/9        appointment may not
2006 + 2007 + 2008 =                     exceed 2.50/9.

Payment Limitations for Summer Appointments

  1. Faculty and academic staff on an academic year (9-month) appointment are ineligible to earn additional overload payments during any summer they earn 3/9ths summer salary.
  2. The combination of summer "ninths" salary earned by faculty and academic staff on an academic year (9-month) appointment, plus any overloads earned during summer may not exceed 3/9ths salary during any one summer. The 8/9ths policy also applies (see 3. below).
  3. The maximum summer "ninths" salary, plus summer overload payments earned by faculty and academic staff on an academic year (9-month) appointment may not exceed eight months summer salary over any three-year period.

EXAMPLE: 2/9ths + 3/9ths + 2.5/9ths + 1/2 month salary overload payment during one summer only = maximum 8/9ths summer salary allowed over a three-year period.

PROCEDURE

No later than October 1 of each year, each Dean or Director is required to send either a summary report or individual forms to the Academic Personnel Office (166 Bascom Hall) listing the name and rank of each individual approved for more than 2/9ths summer salary, the department, and the current summer appointment, plus the term of the summer appointments for the last two years [see sample form, http://www.ohr.wisc.edu/Forms/OverTwoNinths.htm].
